Job Description: |
We are hiring Head Administrator - POC to serve as the central liaison between internal teams and external stakeholders, ensuring smooth communication, efficient document management, and full compliance with project requirements. This role is ideal for candidates with strong administrative experience, excellent communication skills, and a proactive approach to coordination.
Key Responsibilities:
- Serve as the primary Point of Contact (POC) for all project-related communications, both internal and external.
- Coordinate with stake holders, vendors, clients, and internal departments to ensure project needs and compliance requirements are met.
- Draft, review, and maintain all project and compliance-related documentation.
- Ensure timely submission of proposals, progress reports, and other compliance materials.
- Maintain a centralized filing system and ensure all documentation is up-to-date and accessible.
- Track project milestones and ensure stakeholders are informed of deliverables and deadlines.
- Facilitate and document meetings, follow-ups, and correspondence related to projects.
- Support audits and compliance checks by providing accurate and complete documentation.
- Handle RPLs of workers, ensuring proper assessment documentation and submission to relevant authorities.
- Maintain and regularly update official portals of institutes with accurate information, documents, and reports.
- Support faculty-related issues, coordinate faculty onboarding processes, and act as the liaison between faculty and administrative departments.
- Train new faculty and staff on compliance protocols, documentation procedures, and internal systems.
- Ensure timely submission of proposals, performance reports, MOUs, contracts, and other compliance documents.
- Keep centralized and well-organized records of all project-related files—both soft and hard copies.
Requirements:
- Bachelor’s degree.
- 2–3 years of experience in an administrative role, preferably involving compliance or documentation responsibilities.
- Strong interpersonal and communication skills, with the ability to interact professionally with stakeholders at all levels.
- Exceptional organizational skills and attention to detail.
- Ability to manage multiple projects and meet tight deadlines independently.
- Proficiency in MS Office (Word, Excel, PowerPoint); experience with document management systems is a plus.
- Knowledge of regulatory compliance practices is preferred but not mandatory.
